GDPR Data Mapping: Your Questions Answered
What is GDPR data mapping?
GDPR data mapping is the process of identifying and documenting the personal data your organisation holds: what it is, where it came from, which systems and suppliers hold it, who can access it, whether it leaves the UK, how long it is retained and how it is deleted. It is often called an information audit or data flow mapping, and it is the practical groundwork behind almost every other UK GDPR obligation.
Is data mapping a legal requirement under UK GDPR?
Data mapping itself is not named as a standalone duty, but the obligations that depend on it are. Article 30 requires most organisations to maintain records of processing activities, Article 5(2) requires you to demonstrate compliance with the principles, and Articles 13 and 14 require you to tell people what you do with their data. You cannot satisfy any of those reliably without knowing what you hold, which is why the ICO treats an information audit as a foundational step.
How long does a data mapping project take?
For a small organisation with a handful of systems, expect two to three weeks from kick off to handover. A multi site organisation with legacy systems, a large supplier estate and international transfers typically runs six to ten weeks. The variable is rarely our side, it is how quickly we can get time with the system and process owners.
What is the difference between a data map and a RoPA?
The data map is the full working picture, including data flows, system inventories and access. The Record of Processing Activities is the formal subset that Article 30 requires you to keep and produce to the ICO on request. We build the map first, then generate the RoPA from it, because doing it the other way round produces a record that looks tidy but does not match reality.
Do we need to map data held by our suppliers and processors?
Yes. You remain the controller for personal data your processors handle on your behalf, so your map needs to show which suppliers hold what, under which contract, in which country. This is also where most gaps appear: a processor with no Article 28 contract in place, or an onward transfer nobody documented.
Can you map our data if we have no documentation at all?
That is the usual starting point. We work from systems access, interviews and observation rather than expecting you to produce paperwork you do not have. Arriving with nothing written down is normal and it does not slow the project down.
